Contractor Management Guidelines

Define the Scope of Work. Clearly outline the scope of work for the contractor, including the specific tasks to be performed, the expected outcomes, and any limitations or restrictions.  

Select Competent Contractors. Choose contractors with a proven track record of safety performance and relevant experience in the type of work being undertaken. Verify their credentials, insurance coverage, and safety certifications. Conduct pre-qualification assessments to evaluate their ability to manage health and safety effectively. 

Conduct Risk Assessments. Collaborate with the contractor to identify and assess the potential hazards associated with the work.  

Establish Clear Communication Channels. Maintain open and transparent communication with the contractor throughout the project. Designate a point of contact for each party to facilitate timely information sharing and address any concerns promptly.  

Provide Site Induction and Training. This should include familiarisation with your company’s safety policies, procedures, and emergency protocols. Provide training on specific hazards and controls relevant to their tasks. 

Monitor and Supervise Contractor Activities. Conduct site inspections, review safety documentation, and address any non-conformities or potential safety issues promptly. 

Encourage Incident Reporting and Investigation. Provide clear instructions on how to report incidents, near misses, or unsafe conditions. Promptly investigate all reported incidents to identify root causes and implement corrective actions to prevent recurrence. 

Implement Emergency Response Procedures. Establish clear emergency response procedures that are communicated to both your employees and the contractor’s personnel. Conduct drills. 

Review and Update Safety Plans. Regularly review and update safety plans and procedures to reflect changes in the work scope, new hazards, or evolving safety regulations.  

Maintain Effective Contract Management. Include clear safety requirements and expectations within the contractor’s contract. Define performance expectations, establish performance monitoring mechanisms, and outline consequences for non-compliance with safety standards.
